Guided Trips

Policies

Deposits/Payments
  • All trip reservations require a $200 deposit per person. If you would like us to hold a spot, we require a deposit!
  • 90 days prior to the trip we require a full payment.
  • Reservations made after the balance due date must be paid in full at the time of booking. We reserve the right to cancel your reservation if full payment is not received by the due date.
  • Payments can be made over the phone with a credit card (3% card fee), online (3% card fee), and or check or cash (no fee).
Cancellations

We operate in all safe weather and water conditions, therefore inclement weather or water or non-desirable conditions are not reasons to cancel or receive a refund. We have the right to cancel a trip at any time. Come prepared for the weather and watch the forecast. If you find it necessary to cancel your trip, you should notify MRO in writing, or by email immediately.

  • If cancellations are made within 14 days of  booking, a full refund of your deposit minus a $25 service charge per person will be returned via check.
  • If cancellations are more than 90 days before your reserved dates, we hold your pay in full for a later trip that year or for the following season.
  • If cancellations are made between 60-89 days before your reserved dates, we hold your pay in full minus $200 (in lieu of guide salary) for a date later that year or the following season.
  • If cancellations are made between 14-59 days prior to your trip start date, we keep 50% of your final balance and the remaining 50% is held as a trip voucher that you can use later that year or the following season. A large portion of that will be used to pat the scheduled guide(s) in lieu of lost wages and expenses incurred.
  • If cancellations are made less than 14 days before your reserved dates, the full trip cost will be forfeited and a large portion of that will be used to pay the scheduled guide(s) In lieu of lost wages and expenses incurred.
  • If we are unable to provide your reserved Guide service due to unforeseen events, your entire deposit will be refunded, and we will grovel for your forgiveness. We understand that unforeseen situations can lead to cancellations, and we reserve the right to make refund decisions on a case-by-case basis.
Replacement/Transfer Fees
  • If you cannot attend, you are welcome to find a replacement for yourself at no charge.
  • There are no transfer fees that apply.
Private/Charter Trip Cancelation

We run our trips at an 8-person minimum for an appropriate guide to guest ratio of 1 to 4. If someone in your group drops out, your group will need to pay for that remaining spot, add another person, or open it up to the public. If MRO opens it up to the public and the spot is not filled, the group will incur the fee. We will try our best to help you out!

  • If cancellations are made for more than 90 days before your reserved date, we hold your deposit for later that year or the following season.
  • If cancellations are made between 60-89 days before your reserved dates, we hold your pay in full for later that year or the following season.
  • If cancellations are made between 14-59 days before your reserved dates, we keep 50% of your total and hold the rest for a future trip later that year or the following season.
  • If cancellations are made less than 14 days before your reserved dates, the entire payment will be forfeited and a large portion of that will be used to pay the scheduled guide(s) In lieu of lost wages and expenses incurred.
  • If we are unable to provide your reserved Guide service due to unforeseen events, your entire deposit will be refunded, and we will grovel for your forgiveness. We understand that unforeseen situations can lead to cancellations, and we reserve the right to make refund decisions on a case-by-case basis.
Trip Minimum

ALL trips have a minimum trip participant of 6 people. If our trips do not fill to the 6 person minimum we will need to cancel the trip and you will get a full refund. If you wish to move to a different date we will offer you a 10% discount (accumulative discounts do not exceed 10% off)

Waiting List

If you wish to be wait-listed for a full trip, a normal deposit is required. If an opening occurs on the trip, you will be informed and automatically transferred to the trip roster if you wish to join the trip, subject to the normal cancellation policy should you accept the slot. Otherwise, your deposit will be refunded in full.

Physical Requirements

Most of our trips are suitable for ALL ages and experience levels. However, some trips are more active than others. It is important to understand the physical requirements for the trip you choose. If you are not sure about this, or you’re not sure which trip or date will best meet your needs. Please call for advice.

Age Minimum & Maximum

There is no defined age minimum of maximum. However, we do require that participants are able to swim on their own. We also require that guests are able to get in and out of canoes safely. All hikes have turn around points and no hikes are mandatory. If you are requesting to be in a guide boat, we need to know that at the time of your booking.

Trip Member Responsibility

Trip members have the responsibility to select a trip appropriate to their abilities and interests. We are happy to discuss the trip with you if you have any questions or concerns. Trip members are held responsible for being in sufficiently good health to undertake the trip. Members are also responsible for studying all pre-departure information; for bringing the appropriate clothing and equipment as detailed therein and, for acting in a manner considerate of fellow group members.

Any person who is diabetic, epileptic, or asthmatic or has a history of heart trouble, is allergic to bee stings, or takes daily prescription drugs should include this information in their pre-trip questionnaire. Trip members will also alert their guide (s) of any medical history that could become a problem on the trip. People with a history of heart trouble, pregnant women, or any other potentially serious medical condition should consult their doctor before coming on a trip.

Transportation

Flights – Arrival in Great Falls (GTF) – the day before your trip departs: If you are flying to Montana, we require arrival in the early afternoon the day before your trip departs. (Ex, if your trip starts on the 24th, you must arrive on the 23rd. If the last day of your trip is the 28th, your departure flight should be the 29th.) GTF is served by Delta, United, and Alaska Air. Flights arriving will be connecting through Denver, Salt Lake City, Minneapolis, Chicago, or Seattle. We realize the airline schedules can be tough, but we strongly encourage arrival in GTF by no later than 4pm.

We have a shuttle service to/from the airport to Fort Benton. We charge $125 one way per van (not passenger). We try to combine groups to lower the cost. If there is a group of 2 and a group of 3 the shuttle cost per person one way would be $25. We will be in contact with you prior to the trip to make sure we have shuttle aligned to the flight schedules. Please let us know ahead of time that you are in need of a shuttle to and from the airport.

Amtrak– Havre MT (HAV) Amtrak – the day before your trip departs: If you are taking the Amtrak to Montana, we require arrival in the early afternoon the day before your trip departs. (ex,. If your trip starts on the 24th, you must arrive on the 23rd. If the last day of your trip is the 28th, your departure should be the 29th.). We strongly encourage arrival in HAV by no later than 4pm. Sometimes this is not possible.

We have a shuttle service to/from the Havre to Fort Benton. We charge $125 one way per van (not passenger). We try to combine groups to lower the cost. If there is a group of 2 and a group of 3 the shuttle cost per person one way would be $25. We will be in contact with you prior to the trip to make sure we have shuttle aligned to schedules. Please let us know ahead of time that you are in need of a shuttle to and from the airport.

Equipment

MRO provides all canoe/kayak specific gear, including boats, lifejackets, paddles, bow lines, canoe seat backs, and first- aid and safety equipment. Additionally, we provide all kitchen equipment for food preparation. MRO also provides all sleeping and camp equipment such as chairs, canvas wall tents, cots, sleeping bags (20 degree), pillows, pillow cases, tables, water station, firepans, bathroom system etc. Please refer to your general information packet for a thorough picklist.

Trip Departure

At 6:15 P.M. the day before your trip departure we will be holding a meet and greet at the Grand Union Conference room. During this meeting we will be going over important details and it is highly recommended that you attend. At this meeting you will be receiving your Dry Bags and instructions for the following morning along with helpful tips and reminders.

The canoe portion of your trip will begin at 8:30 AM or 9:00 AM. Departure time is based on the meeting the night before.

Vehicle Parking And Storage

We have unsecured parking at our storefront and warehouse location. If you have an RV, you are more than welcome to park their before and or after the trip. However, there are no hookups or amenities. We have plenty of space and can store your luggage and personal belongings in a secured building. Trip Conclusion/Shuttles

MRO drivers will be at the takeout at 12:00. Ramps can be a really high traffic area and it is our goal to get off the ramp as quick as possible. When you arrive guides will direct you straight to lunch. While you are eating our crew loads everything up in an organized and methodical way so that you don’t have to worry about a thing. Once everyone is loaded in the vans enjoy the van ride back to civilization.

You can expect to be back in Fort Benton by 2:00-4:00 in the afternoon. Once you arrive, we will have your personal items waiting for you. Our staff will assist you on the unpacking/packing process at this point. Please double check to make sure you have not left anything behind. If you arranged a shuttle with us, we will go from the ramp to your desired location. Goodbye are always the hardest part.

We also offer to drive people’s vehicles to the takeout where they are there waiting for you. Vehicle shuttles are an extra charge and prices vary according to location.

Travel Protection Plan

We strongly recommend that you purchase a travel protection plan which can include a full trip refund should you cancel at any time for medical or health reasons. Coverage should also include medical evacuation, trip delay, and other elements.

Gratuity For Your Guide

We get a lot of questions about tipping the Guides. All Guides typically receive gratuities for their hard work on the water, and depend on them as part of their income. Typical gratuity for a Guide runs about 10% to 20%. However, the decision is yours, and you should tip what you feel is appropriate.

  • If cancellations are made less than 5 days before your reserved dates, 50% of the deposit amount will be forfeited. The remaining amount will be a trip voucher than can be used at a later that year or following season.
  • If we are unable to provide your reserved service due to unforeseen events, your entire deposit will be refunded and we will grovel for your forgiveness. We understand that unforeseen situations can lead to cancellations and we reserve the right to make refund decisions on a case-by-case basis.

All reservation changes must be made via email and confirmed 24 hours before your launch date. Failure to do may result in incurred fees and a longer wait time prior to your trip.

  • All DIY trips have a 2-person minimum. DIY trips are combined parties unless you have arranged a private trip with 8 or more. Please call or email for trip availability!
  • Guided day trips open to the public have a 2-person minimum.
  • Private guided day trips have a 4-person minimum.

If you wish to be wait-listed for a full trip, a normal deposit is required. If an opening occurs on the trip, you will be informed and automatically transferred to the trip roster. If you wish to join the trip, you are subject to the normal cancellation policy should you accept the slot. Otherwise, your deposit will be refunded in full.

Lost Or Damaged Rental Gear
  • All lost or damaged rental gear is subject to replacement fees. Customers will need to pay our retailers rate to replace the gear that has been altered.
  • DO NOT disassemble boats for any reason! Come prepared and make sure your gear fits ahead of time. Research dimensions. If we find that our boats are altered you will be charged a replacement cost!
  • DO NOT use duct tape! You will be charged replacement costs!
Cleaning Fees

There is a $10 cleaning fee for all boats that are not cleaned at the end of your trip. Your credit card on file will be charged. A clean boat is a happy boat. You start with a clean boat and you end with a clean boat.

Guided day trip- MRO provides all shuttles, canoe/kayak/paddleboard specific gear, lifejackets, paddles, dry bags, canoe seat backs, complimentary beverages and lunch, a guide to guest ration of 1 to 5.

Trip Departure

ALL Day trips start at 10:00!

  • Carter to Fort Benton- Meet at the cement boat ramp at 10:00. From there we drive an hour to the put in location.
  • Fort Benton to Wood Bottom- Meet at Wood Bottom at 10:00. From there we drive you 40 minutes back to Fort Benton where you will start your trip.
Trip Conclusion

Please call MRO at 406-622-3295 upon trip completion.

Gratuity For Your Guide

We get a lot of questions about tipping the Guides. Guides typically receive gratuities for their hard work on the water, and depend on tips as part of their income. Typical gratuity for a Guide runs about 10% to 20%. However, the decision is yours, and you should tip what you feel is appropriate.

The only rental items we need to know in advance are boat rentals and Kitchen boxes. We can guarantee that all other rental gear is available once you arrive.

  • All canoe rentals require a one day’s rental fee per boat.
  • We do not require deposits on rental gear such as tents, sleeping bags, sleeping pads, coolers, etc. However, if you have a large group and would like to make sure we have those things set aside. Please email a list of your rental gear at least 2 weeks in advance.
  • We accept payment via check, cash and credit/debit card. All cards are subject to a 3% processing fee.

  • Cancellations made 30 days or more before your reserved dates, get a trip voucher for the full deposit. Deposits/trip vouchers can be used later in the season or following season.
  • If cancellations are made between 8-29 days before your reserved dates, we hold your deposit minus processing fees of $10 per reservation. Deposits/trip vouchers can be used later that year or following season.
  • If cancellations are made less than 8 days before your reserved dates, the entire payment will be forfeited and a large portion of that will be used to pay expenses incurred.

  • If you cannot make your reserved dates happen, you are welcome to find a replacement for yourself at no charge.
  • There are no transfer fees that apply.
Reservation Changes
  • We understand that trips plans are constantly evolving until you and your group get on the river. Please note that we do not charge change fees.
  • To change an existing reservation, you MUST email us your changes at mro@mroutfitters.com. Changes ARE NOT in affect until you get a confirmation from us! Failure to make confirmed changes in a timely manner, can result in incurred costs and or unavailable inventory.

It is rare for us to run out of boats. However, if that happens, we can put you on a waitlist. As soon as boats come available for your selected dates, we will give you a call.

We pre-station and pickup all of our boats free of charge if you have a private auto or shuttle booked with us. If you do not have a shuttle booked with us, we charge $10 per boat station AND pickup. If we are picking up boats at Kipp it varies depending on the dates you choose. If we have to take a special trip down there to grab boats it can be up to $50 per boat.

Before You Launch On The River
  • We require ALL rental customers to stop by our office either the morning of your trip or the day before between 8:00 and 6:00 pm at our storefront location.
  • You must sign waivers and collect all your rental gear (minus the canoe) before you launch.
  • Make sure to have space in your vehicle for your rental needs.
  • We are happy to look over maps with you and point out some good camping and hiking options. We usually have a good gauge of how busy the river is and can point you toward some good options for your groups needs.
  • We have limited gear for sale. Please check that we have what you are looking for in stock before you arrive.

  • If cancellations are made between 8-29 days before your reserved dates, we hold your deposit minus processing fees of $10 per reservation. Deposits/trip vouchers can be used later that year or following season.

Vehicle Breakdown/ Repairs
  • If there is anything that goes wrong with your vehicle that costs us time (example; flat tire, overheating, broke down) you will be charged per hour cost of drivers time at a rate of $13 per hour. (Vehicle breakdowns cost us time, money and ultimately affect our shuttle fees. They will also cost you. When breakdowns or delays cause a number of shuttle drivers to be detained, we will pass that charge onto you to cover those expenses.)
  • Vehicle Breakdowns will be handled according to what you marked on your forms.
  • If your vehicle is not able to be at the takeout, we will be there the day you get off the river between 12-12:30. You will be charged according to our charter shuttle rates.
  • If your vehicle is deemed unsafe by our staff, we hold all rights to not drive the vehicle.
Rental Cars

We DO NOT shuttle rental vehicles.

Trailers
  • All trailers must be able to travel safely at a normal speed (or you will be charged drivers time).
  • Trailer hitch must be appropriate for the weight and size of the trailer. You must have safety chains and WORKING trailer lights.
  • Trailer must have spare tire that is attached securely. If the trailer spare or hitch is locked be sure to leave us a key.
  • Do NOT leave garbage or loose items in trailers or bed of truck.
  • Trailer bearings must be serviced before your trip.
  • If MRO staff decides your trailer is not safe to drive. We will leave the trailer where it is parked.
Checking In

All vehicles must check in via our check in procedures before you put on the river. Failure to check in appropriately could lead to no shuttle.

Charter Shuttles
  • Charter shuttles hold no more than 10 people per shuttle. All of our shuttles come with trailers equipped to haul all your gear and up to 6 boats (Canoes/Kayaks)
  • Airport and Amtrak transportation will be scheduled. If you wish to stop at stores on your way though we give you no more than an hour. Any time after that is charged $13 an hour.
  • All river takeout shuttles are between 12-12:30. If you are late you will be charged $13 an hour.

How To Book

Checking In/Out
  1. Blind Vehicle Shuttle
    1. After making reservations and indicating that you would like a blind shuttle (where you don’t stop by), we will send you a waiver, final invoice, and a general information packet. Please follow through!
    2. Before you put on the water you must call to check-in and let us know you are on your way down.
    3. Waivers and final payments must be signed and paid before putting on the water.
    4. Blind shuttles are not allowed if you are renting equipment from us.
  1. Key Drop Off
    1. All Key drop-offs will be at our storefront location. At that time we will have you sign waivers and pay your balance.
  1. Charter Shuttles
    1. All Charter shuttles must sign a waiver before getting in the van. Failure to do so will result in no shuttle.
    2. All river takeout shuttles are between 12-12:30. If you are late you will be charged $13 an hour.
    3. Shuttles require final payment before river launching.

Transportation To And From Airport/Amtrak

Flights – Arrival in Great Falls (GTF) – All of our shuttles run between our normal business hours 8:00-6:00pm. Make sure to book your flight and shuttle accordingly. GTF is served by Delta, United, and Alaska Air. Flights arriving will be connecting through Denver, Salt Lake City, Minneapolis, Chicago, or Seattle. We realize the airline schedules can be tough, but we strongly encourage arrival in GTF the day before your trip to give you time to organize.

We have a shuttle service to/from the airport to Fort Benton. We charge $125 one way per van (not passenger). We have roundtrip rates on our website. Please let us know ahead of time that you are in need of a shuttle to and from the airport. We will need your flight details.

Amtrak– Havre MT (HAV) Amtrak – All of our shuttles run between our normal business hours 8:00-6:00pm. Make sure to schedule your shuttle accordingly. GT is served by Delta, United, and Alaska Air. We strongly encourage arrival in Havre the day before your trip to give you time to organize.

DO NOT book any flights or Amtrak for the day you get off the river. We CANNOT guarantee to get you there on time. IF you choose to do so, you are subject to any altered schedules that may make you miss your scheduled flight and or train. We will NOT cover any of your delays.

Gratuity For Your Drivers

We get a lot of questions about tipping the Drivers. Drivers typically receive gratuities for their work. Gratuity for a Drivers varies and the decision is yours. You should tip what you feel is appropriate. If you are leaving tips in your vehicle for drivers please write it on a note and or leave it in a labeled envelope.
